Reminders on WhatsApp, Messenger and email
What is sent, when, on which channel, and the one thing that stops it working: a missing phone number.
Every booking gets a confirmation and two reminders without you doing anything. This article explains the rules so you know what your clients receive.
What is sent
- Confirmation the moment a booking is made — by the client online, or by you at the desk.
- Reminder 24 hours before, and again 2 hours before.
- Changed / cancelled messages when a booking moves or is cancelled.
- Deposit instructions and a note before a deposit hold expires.
- Review request after the visit — only for bookings made online, so reviews stay verified.
Which channel
Philippines: WhatsApp first, then email, then Messenger. The first channel the client can be reached on is used — a client with a phone number gets WhatsApp; a client with only an email gets email; Messenger is used when the client has messaged your page.
Quiet hours
Nothing goes out between 21:00 and 08:00. A reminder due at 23:00 is sent at 08:00 instead.
The one thing that breaks it
A booking with no phone number and no email cannot be reminded. When you book someone at the desk, use + New client and type their number — it takes ten seconds and it is the whole difference between a reminder and a no-show. "Walk-in" bookings are for people already in the chair.
Switching reminders off
Settings → Notifications: the 24-hour and 2-hour reminders each have a switch. Leave both on unless you have a reason.
Opting out
Every message carries an unsubscribe link. A client who uses it stops receiving marketing but still receives booking confirmations and reminders for appointments they made.
Birthday and win-back messages
These are separate, under Marketing, and only go to clients who have ticked Marketing messages on their client card. Switch each on, edit the text, and the system sends on the day — birthdays on the birthday, win-back after the number of days you set since their last visit.
Checking what was sent
On the phone, the bell at the top of the calendar shows failed messages and overdue reminders. Nothing there means everything went out.
